What the documents look like
Inbound receiving and putaway handles the first physical-and-ledger confirmation when goods enter a warehouse. The main data sources are the WMS, ERP procurement records, supplier delivery notes and barcode scanning. The daily documents are the purchase arrival order, the inbound acceptance record, the putaway task and the discrepancy report. For order fulfilment and after-sales answers, these materials act as source evidence: when answering about arrived quantity, putaway location or discrepancy handling, the cited content must point to a specific field on the corresponding document. Updates occur per batch and daily, so source versions change over time and citation tracing must check the document version.
A search node can associate one or more knowledge bases that share the same vector model. Its output is an array of cited content, and the length can be zero; even when nothing is found, the output path still runs through. An empty array does not mean the workflow has errored or terminated. The retrieval output must be passed to the answering step, and each answer must be checked against the cited source text. Semantic recall and the minimum relevance value are filtering thresholds; they do not perform permission or entity isolation. Retrieval itself is not authorization.
Hypothetical paper exercise: a warehouse receiver processes supplier delivery note HD-0610 on 10 June 2025. Purchase arrival order CG-0610 states "A goods arrived, 120 units". Inbound acceptance record YS-0610 states "A goods actually received, 118 units, discrepancy of 2 units pending confirmation". Putaway task SJ-0610 states "A goods put away to location B-03, quantity 118 units". A draft sentence reads "This batch of A goods was fully put away according to the arrived quantity of 120 units". This sentence disagrees with the received and putaway quantities on the acceptance record and the putaway task, and "fully put away" lacks signed or approved authorization evidence. This sample is a paper exercise and does not indicate that any real business action occurred.
Constraints at the citation tracing step
The knowledge base search node can associate one or more knowledge bases with the same vector model. Its output is an array of cited content whose length may be zero. When no content is found, the output path still runs. An empty array is not a workflow error termination. The retrieval output is handed to the answering step, where each answer sentence is compared against the cited original text.
Semantic recall and the minimum relevance value are filtering thresholds. They do not isolate permissions or entities, and retrieval is not authorization. A relevance score is not a category, entity or permission filter, and a similarity setting does not exclude unrelated businesses or unauthorized records. Business verification, approval, database writes and external synchronization require their stated downstream implementation.
The optional paths listed in the overall retrieval flow are not all executed on every request. Image retrieval requires an image input and the corresponding model capability. Rerank requires a rerank model and must be enabled according to the setting. Knowledge bases built on different vector models cannot be associated together; check the identifier first and exclude those that do not match, rather than running a cross-model search to compare missed recalls.
Configuration and implementation checks
| Configuration or check item | Purpose on this page | Hypothetical starting point and comparison method |
|---|---|---|
| Associated knowledge bases | Determine retrieval scope | First check the selected knowledge bases and document versions; only the same vector model may be associated together |
| Cited content output | Carry the citation array | Use a paper input of [] to check the downstream design and observe whether the empty-array path runs through |
| Citation input handover | Check answer sources | Compare each answer sentence against the cited original text for subject, object and quantity |
| Citation display check | Check original text display | Use a traceable sample to compare displayed text against the source original |
| Document timeliness check | Check version validity | Use current and historical document versions to test the source; adoption still depends on valid-version review |
| Search mode and result rerank | Clarify recall paths | Image retrieval requires an image input and model capability; rerank requires a model and must be enabled according to the setting |
Hypothetical trial starting point for this exercise: the citation limit is set to 3 based on the number of document fields, because the sample involves three materials: arrival, acceptance and putaway. Compare against a setting of 1 to observe whether the acceptance record is missed in recall coverage. This value is a hypothetical starting point for this exercise and is not an official default.
Three common errors
- Treating a retrieval hit as authorized execution. The input is the citation array returned by retrieval; compare the retrieval output against the authorization boundary and observe whether the cited content is treated as an approved putaway or discrepancy-handling conclusion. Retrieval is a citation source; business verification, approval and database writes require downstream implementation.
- Treating an empty citation array as an error. The input is a paper []; compare the node output path against the downstream design and observe whether the workflow is wrongly judged as terminated. An empty array means no content was found, and the output path still runs.
- Treating an unsigned discrepancy handling as completed. The input is the discrepancy report "discrepancy of 2 units pending confirmation"; compare the pending-confirmation state against the completed state and observe whether pending confirmation is written as already handled. A pending review does not prove a lack of operating permission; signing, reaching agreement and contract effectiveness are three distinct facts.
How to verify the setup
- Input the hypothetical draft sentence "This batch of A goods was fully put away according to the arrived quantity of 120 units". Compare against the 118 units actually received on acceptance record YS-0610 and the 118 units on putaway task SJ-0610, and observe whether the draft sentence quantity matches the source. A quantity mismatch does not satisfy the condition; when authorization signing is missing, record the evidence gap.
- Input the paper citation array []. Compare the node output path against the downstream handover design and observe whether the empty array runs through without being judged as an error. If the downstream design treats an empty array as termination, record it as an item to be revised.
- Input the current and historical versions of the purchase arrival order. Compare the cited display text against the source original and observe whether the display corresponds item by item to the original subject, object and validity scope. A mismatch between display and original does not satisfy the condition; whether a version is adopted depends on valid-version review.
