What the documents look like
A third-party overseas warehouse can serve several sales channels, and the seller allocates stock across them. Replenishment plans, inbound appointment records, inventory ageing tables and last-mile delivery orders arrive from different systems: the warehouse WMS, ERP sales forecasts, the freight forwarder system and carrier statements. Weekly and daily update rhythms mean that an ageing table and an appointment record viewed during a handover may belong to different points in time. A citation therefore has to carry its version and its period.
This page covers one slice of operations work: permission and handover management, specifically citation tracing. The question is which materials, operations and requests sit at which authorization state during a handover, and how the source behind a statement can be traced. A retrieval hit and a form value are records of what was entered or returned. Neither one is an authorization to act.
Constraints at the citation tracing step
The knowledge base search node can be linked to one or more knowledge bases that share the same vector model. It outputs citations as an array, and the length may be zero, meaning the downstream chain still runs even when nothing is found. The citation limit is controlled in tokens. The minimum relevance value is a 0-1 number that filters low-relevance results and takes effect only under semantic retrieval or when result re-ranking is used. It is a filter threshold. It does not act as a permission filter or an entity isolation control. Retrieval is not authorization, and a similarity score cannot exclude unauthorized records.
A hypothetical paper exercise sample. A cross-border seller's handover document states: "Replenishment plan RP-0417 was submitted by overseas warehouse operations staff A on 17 April, status pending review; inbound appointment AP-0422 covers the same SKU batch, status confirmed; ageing table AG-0417 covers 1 April to 17 April." The draft sentence to be checked is: "RP-0417 has been approved and can be used to place an order with the carrier." Checking that sentence: the subject is RP-0417, the field is status, the source value is pending review, and the draft value is approved. Two mutually exclusive values in the same field form a contradiction. Placing an order with a carrier is an external business action, and the source text states no authorization clause for it. That remains an evidence gap.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this exercise | Reason and comparison object |
|---|---|---|
| Linked knowledge bases | Replenishment plan base, inbound appointment base | Both must use the same vector model; verify the identifier before linking |
| Search mode | Hybrid retrieval | Compared with semantic retrieval alone, exact identifiers are more likely to be matched |
| Citation limit | Hypothetical starting point 800 tokens | Compared with 600, observe citation count and truncation behaviour |
| Minimum relevance | Hypothetical starting point 0.3 | Compared with 0.5, observe changes in the number of recalled items |
| Result re-ranking | Enabled according to configuration | Requires a re-rank model; compared with leaving it disabled, observe ordering |
| Citation output | Array, may be empty | Check the downstream handling design against an empty array [] |
These values are starting points for this paper exercise. They are not official defaults.
Three common errors
- Reading a pending-review status as approved. The input is the source text of the RP-0417 status field, "pending review". The comparison is the draft sentence "has been approved". Mutually exclusive values in the same field form a contradiction, and the finding is recorded as unsupported.
- Treating a retrieval hit as an authorization. The input is the citation array returned by the search. The comparison is the authorization clause required for placing a carrier order. The source text states no such clause, so this is an evidence gap.
- Linking knowledge bases with different vector models. The input is the vector model identifier of each base. The comparison is whether the identifiers match. A base whose identifier does not match is excluded and recorded; cross-model retrieval is not performed.
How to verify the setup
- Input the three source sentences and the draft sentence from the hypothetical sample above. Compare the value of the RP-0417 status field. If "pending review" and "has been approved" appear together, the case is judged a contradiction, and the expected conclusion is unsupported.
- Input an explicit paper empty array []. Compare whether the downstream node still runs. If the chain is not interrupted, the downstream handling condition is met. This does not claim that any particular rule search will necessarily return an empty result.
- Input the vector model identifiers of the two knowledge bases. Compare whether they are identical. Only identical identifiers allow joint linking. Where they differ, exclude the base and record the actual observation. Do not infer missed recall or redundant results.
